Initial user upload

How to upload users:​

It is very likely that when you are starting with Nivimu you will need to perform a bulk user upload. To be able to do so successfully, you will need to fill in an Excel file with the data of your workers that we will then transfer to the application.

The first thing to keep in mind is that you can obtain a file from your accounting firm that provides you with some of the data you need, although there will be some things that you will need to add manually, since they work through a system of codes.

It is also very important that you know that there is a series of mandatory data that you have to fill in, since if you don't, the upload will not be done correctly.

To help you identify this data, you will see it marked in red.

The mandatory data for the upload to be done correctly is:​

  • Name.
  • Last Names.
  • NIF.
  • Email.
  • Contract Start.
  • Contract End.
  • Contract Type.
  • Contract Company.
  • Internal Category.
  • Types of Vacation.
  • Vacation Days.

If the contract is indefinite, we will leave the 'Contract End' field blank.

Data that you will need to fill in manually:​

  • Marital Status: we will specify the marital status of the worker by writing single, married, widowed.
  • Gender: you will need to specify the gender of the worker by writing male or female.
  • Role: you will need to specify if it will be an inactive user, a normal user, or an admin user.
  • Inactive User: we will write '1'.
  • Normal User: we will write '3'.
  • Admin User: we will write '5'.
  • Time Control: you will need to specify whether you want the user to have time control active or not.
  • Active: we will write 'on'.
  • Inactive: we will write 'off'.
  • Type of Vacation: we will indicate to the program if the vacation of this worker is in calendar days or working days.
  • Calendar days: calendarDays
  • Working days: workingDays
  • Contract Type: we will write the number corresponding to the worker's contract type, for example '100' for an indefinite full-time contract. You can check the codes in the template sheets.
  • Nationality: in nationality we will write the code of the user's nationality. You can check the codes in the template sheets. For example: for Spain we will write 'es'.
  • Country: here we will write the code corresponding to the country where the user resides. You can check the codes in the template sheets. For example: for Spain we will write '724'.
  • Province: We will write the code corresponding to the province where the user resides. You can check the codes in the template sheets. For example: for Balearic Islands we will write '7'.
  • Town: Just as in country and province, we will write the code corresponding to the town where the user resides. You can check the codes in the template sheets. For example: for Ibiza we will write '7026'.
  • Zone Number: Once the zone configuration has been completed, in the Zone Number column, we will write the number of the zone, which you can check within Nivimu, in the settings section, 'zones' tab.

Although they are not mandatory, the more fields you fill in, the more complete each user's file will be, which will make your beginnings with Nivimu much easier.

We strongly recommend you complete all the data you can. For example, if you have it, fill in the user's address, postal code, phone number, social security number, IBAN, salary, etc.

Even if some fields aren't mandatory, the more you complete, the richer each user profile will be, making your start with Nivimu smoother. We strongly recommend filling in everything you can (address, postal code, phone, social security number, IBAN, salary, etc.).
