Hour Bank
Hour bank​
Automatic distribution of overtime/undertime into hour banks simplifies tracking:
- Standard hour bank (overtime bank): Excess/deficit vs. contract hours. E.g., 36h + 44h on 40h/week → 0h net.
- Worked days off bank: Days off worked (or owed). Defaults to Mon–Fri worked, Sat/Sun off (unless user schedule overrides).
- Worked holidays bank: Holiday hours worked; compensate in Time Tracking with a holiday-comp time day.
Do not use normal days off to regularize extra hours—this triggers an error because contracted hours wouldn't be met.
You cannot place normal days off on top of holidays.
Scheduled hours indicator​
Below each user: theoretical hours (gray, right) vs. scheduled (colored, left).
- Orange: scheduled < theoretical
- Green: scheduled = theoretical
- Red: scheduled > theoretical
Top-left totals show sum of theoretical vs. scheduled for visible users to check day/week/month balance.
Hour multipliers​
Configure value of overtime, worked days off, worked holidays, and authorized worked holidays per site (Settings → Zones → edit site → Hour banks tab). Multipliers appear when handling overtime requests; admins can override within the request.
Excess/deficit requests​
Excess/deficit of hours generate requests in Management → Requests with key details (effective time, presence, ordinary hours, day type, theoretical hours, breaks, differences, day; plus shift, clocking, request time, proposed excess). For overtime, admins can split to pay/compensate and edit multipliers. For deficits, see balances before/after accept/reject and proposed/accepted deficit.
Outcomes​
- Reject/do nothing (excess): hour bank unchanged.
- Accept to pay (excess): creates payroll incident; validate in Payroll Incidents Validation, then shows on payslip.
- Accept to compensate (excess): moves to overtime bank (visible in Time Tracking expanded view and Regularizations list).
- Reject/do nothing (deficit): negative hours accrue in the bank.
- Accept (deficit): negative hours are forgiven (not accrued).
For flexible schedules, weekly totals are reviewed instead of a single day; excess/deficit is computed across the week.
